Overview
Gmail integration connects your business Google Workspace or Gmail account for two-way email sync—staff work customer email in a dedicated Gmail portal while threads link back to ServiceFlow CRM records.
How to access
- Setup — Settings → Integrations → Gmail
- Daily use — Gmail menu item (appears when connected) opens the Gmail portal in a new tab

- OAuth-connect Gmail/Google Workspace under Integrations.
- Open the Gmail portal from the main menu with SSO token from ServiceFlow login.
- Read and send mail in the portal UI with customer context where linked.
- Complement Messaging Timeline for teams that prefer Gmail UX for email.
Prerequisites
- Admin enables Gmail under Settings → Integrations.
- Google Cloud OAuth client configured for your domain (admin/setup docs in Integrations panel).
- Users need ServiceFlow login; Gmail portal opens via token handoff.
Step-by-step
Connect Gmail (admin)
- Settings → Integrations → Gmail.
- Click Connect / follow OAuth prompts.
- Grant requested scopes for read/send as documented.
- Confirm Enabled status shows connected.
Use Gmail day to day
- After connection, click Gmail in the left menu.
- Portal opens in new tab authenticated with your ServiceFlow session.
- Handle customer email; link threads to customers when the portal exposes linking actions.
Disconnect or rotate
- Return to Settings → Integrations → Gmail.
- Disconnect and re-auth if tokens expire or mailboxes change.
Current limitations
- Config-gated — menu hidden until integration is enabled.
- Separate portal app—not all email actions are duplicated inside every customer detail screen.
- Shared inboxes (support@) need Google Groups or delegation configured on Google side.
- Calendar sync is not part of Gmail integration—use Scheduler for job calendar.

- Inline email compose on customer record without leaving ServiceFlow.
- Automatic thread linking by email address match.
- Shared inbox assignment in portal.
