HVAC Comfort Proposals

Build Good / Better / Best HVAC sales presentations from your HVAC Catalog, share a public link for e-sign, then convert to an estimate or job.
Comfort Proposals are HVAC-industry only. They are not the generic Estimate Builder and not Garage Door Quotes. Industry wording in ServiceFlow calls this a Comfort Proposal.

Overview

HVAC Presentations (/hvac-presentations) is an in-home sales tool. Staff pick equipment models and labor packages from the catalog, apply a markup %, and present three tiers. The customer opens a public link, chooses a package, e-signs, and accepts. ServiceFlow can then create a multi-option estimate (and Affirm financing when enabled) or a scheduled installation job.

Requires HVAC industry. Permissions: hvac-presentations:view (list/detail), :create, :update (edit, share, convert), :delete, :manage (catalog).

What you can do today

  • List presentations with number (HP-00001), title, customer, status, and total.
  • Statuses: Draft, Sent, Viewed, Accepted, Declined, Converted, Expired.
  • Build three tier packages (Good / Better / Best) with catalog equipment, labor packages, or custom lines.
  • Set markup % (0–500) on the presentation; each package shows subtotal, markup, and total.
  • Share link — copies the public URL and sets status to Sent.
  • Customer picks a package, enters name and email, draws an e-signature, then Accept or Decline.
  • On accept, a customer record can be created (lead source hvac_presentation) and the proposal converts to an estimate.
  • Convert to estimate (staff) — maps the first three packages to estimate options 1–3; Affirm link when Stripe Affirm is on.
  • Convert to job — creates a scheduled Installation job (requires a customer).
  • Seed catalog shortcut on the list if the catalog is empty.

Prerequisites

  • Business industry set to HVAC.
  • Catalog seeded or populated under HVAC Catalog.
  • Customer on the proposal if you convert to estimate or job from staff detail.
  • Stripe Affirm for financing on the public page after accept — see Estimate Deposits and estimate financing.

Step-by-step

Create a Comfort Proposal

  1. Go to HVAC PresentationsCreate (/hvac-presentations/new).
  2. Assign a customer, title, optional notes, and markup %.
  3. On each of Good, Better, and Best, add line items:
    • Pick an equipment model or labor package from the catalog (description and price fill in), or type a custom description.
    • Set quantity and unit price.
  4. Review live package totals, then save.
  5. Open the detail page.

Share with the customer

  1. On /hvac-presentations/:id, click Share link.
  2. Copy the public URL (includes token=).
  3. Status becomes Sent. Send the link by email or text yourself (the API also supports email/SMS share channels).

Customer accept and sign

  1. Customer opens /hvac-presentations/:id/public?token=….
  2. They select a package tier, enter name and email, and sign on the canvas.
  3. Accept stores the signature and selected package; Decline marks the proposal declined.
  4. If Affirm is available, the customer can finance the selected package after accept.

Convert to estimate or job

  1. On the detail page, click Convert to estimate (customer required). This creates a multi-option estimate from the first three packages.
  2. Or Convert to job to create a scheduled Installation job.
  3. Use Open estimate when an estimate already exists.

Current limitations

  • This is a pre-estimate sales tool. Formal PDFs, deposits, and AR live on Estimates after convert.
  • The stored presentation total is the maximum package total, not the sum of all tiers.
  • The API allows up to five packages; estimate conversion maps only the first three to options 1–3.
  • Share from the detail UI copies a link today; email/SMS share exists on the API.
  • Garage door businesses use Garage Door Quote Builder instead.
